Privacy policy

This policy explains how Get HMO Licence collects and uses your personal data when you enquire about or use our HMO licence application service. We are the data controller. The person responsible is Patrick Roper; contact patrick@gethmolicence.co.uk.
What we collect
- Enquiry details — postcode, number of occupants/households, and your email, when you use the checker or request a quote.
- Application details — your name, phone, email, the property address, property details (rooms, storeys, occupants), and the licence-holder details (including date of birth and home address) needed to complete a council application.
- Documents — certificates you upload (gas safety, EICR, EPC, fire alarm) and any other documents you choose to send.
- Payment — taken securely by Stripe. We do not see or store your card details.
- Disclosures — we ask only whether you have anything to disclose (a yes/no). If yes, we discuss it with you by phone; we do not collect criminal-conviction or similar details through the website form.
Why we use it, and our lawful basis
We use your data to respond to your enquiry and to prepare and submit your HMO licence application. The lawful basis is performance of a contract (providing the service you ask for) and, for initial enquiries, our legitimate interests in responding to you. Where we ask about disclosures relevant to a fit-and-proper-person assessment, we keep only a yes/no on the website and handle any detail separately under the appropriate conditions in the Data Protection Act 2018.
Who processes your data for us
- MongoDB Atlas — secure database and private document storage.
- Stripe — payment processing.
- Resend — sending email (confirmations and our own notifications).
- Vercel — website hosting.
- Google — analytics and advertising measurement, only if you accept cookies.
Your uploaded documents are kept in a private store that is not publicly accessible; access is restricted to us for the purpose of preparing your application.
How long we keep it
If you enquire but don’t become a client, we delete your details within 12 months. If you become a client, we keep your records for 6 years to meet tax and legal obligations, then delete them.
Your rights
You can ask us to access, correct, or delete your data, or to restrict or object to its use. Email patrick@gethmolicence.co.uk. You can also complain to the Information Commissioner’s Office (ico.org.uk).
Cookies
We only set analytics and advertising cookies if you accept them in the cookie banner. Declining leaves only the essential cookies needed for the site to work.
